Job Opportunity: 

Office Assistant


Job Purpose

Under daily supervision, deliver general office assistant services to the department, encompassing a variety of tasks such as filing, sending e-faxes to clients, photocopying, binding, managing pantry supplies and stationery requests, greeting guests, and serving refreshments.


Principal Accountabilities

  • Coordinates the mail traffic between internal and external communications from the postal implant office as instructed, sends and receives faxes, and distributes them to the appropriate individuals as needed.
  • Receives maintenance requests, makes calls for both standard and emergency situations, and ensures that each job is completed satisfactorily (in-house).
  • Ensures that all office equipment, such as fax machines, photocopiers, projectors, and printers, are in optimal working condition, provides minor troubleshooting services during unexpected equipment failures, arranges for maintenance by making call-outs, and ensures that prompt action is taken.
  • Prepares and caters refreshments for staff, VIP guests, and both private and government delegates as necessary.
  • Photocopies all required documents and manuals, and arranges for specialized or mass photocopying and binding as needed.
  • Handles and maintains the filing system appropriately.
  • Receives deliveries of office supplies and pantry items.
  • Serves as the Fire Warden for the offices in ENOC House I, located on the 4th floor, during emergencies.
  • Maintains an inventory of office supplies, printer toners, cartridges, and pantry items.
  • Ensures the cleanliness of the Board Room and Conference rooms for meetings.
  • Responsible for setting up the laptop, projector, and widescreen for Board meetings, management meetings, and meetings with internal and external customers.



Qualifications and Experience

  • Secondary level of education with competent spoken and written English
  • Experience in General Office Assistant duties and responsibilities 
  • Basic computer knowledge in Microsoft Office.
